Team parent guidelines



Involvement

  • Support the coaches of your team and the parents by taking an active role to insure your team's experience is as successful as possible for each student athlete. In this capacity each team will have it own needs and history to determine specific responsibilities.
  • Encourage all team parents to support Episcopal athletics through Boosters membership and volunteered time.
  • Organize team parents to assist with meals, snacks, score keeping, admission gate and other associated tasks as requested by the coach for your sport.
  • Assist the coach with team budget (purchase orders/reimbursements), if requested, and fund-raising as appropriate.
  • Recruit team parents as your successor for future seasons, to ensure a smooth transition is in place for years to come.

Communication

  • Key contacts for team specific requests and procedures may include:
  • Contact the following people for:
  • Assist with the communication needs of your team as appropriate. Work with Boosters to disseminate information to your team parents and the school community via email and Episcopal's website.
  • Help your team parents become familiar with athletic information sources such as Episcopal's Webevent calendars and directions to away games.
  • Become a focal point for parents who might have questions about the program and assist the parents and coaches to communicate effectively about team policies, etc.
  • Represent your team at Booster meetings and events. Attendance at the specific meeting for your team (e.g., fall, winter or spring team parent meetings) is critical. If you're unable to attend, please arrange for a substitute to represent you. Check the Boosters meeting schedule.

Recognition

  • Help build school spirit and pride in our athletes.
  • Organize an end-of-season party for your team with your coach, if appropriate.
  • Help your coach with appropriate recognition activities for your team by submitting information to the school website and other news outlets as appropriate. Assist with action photo's ,game reports and other timely information.
  • Work with the Boosters Recognition Committee to highlight team achievements on the Boosters' bulletin boards and through other projects as appropriate.
  • Assist with the Senior Athletic Banquet by reminding the seniors on their team to submit up to five photos and to select their theme music.

Membership

  • Encourage all team parents to support Episcopal athletics through Boosters membership and volunteered time.
  • Boosters will fund individual team club accounts based on the number of athletes whose families have joined boosters and by the overall % of participation in Boosters (see details in the Boosters Budget).
  • Be familiar with how much your team was funded. At the beginning of your sports season, you will receive a list of families on your team with their Booster status. This can be used as an opportunity to contact non-members by mail, telephone, or in person.
  • Memberships are accepted all year and are a good value even if yours is not a fall sport. If you have any questions or need additional forms, please contact the membership committee.

Concessions

  • A well-run concession operation is an important service to fans, building school spirit, and produces significant revenues for boosters.
  • Ensure that your team's contribution to Booster concessions takes place.
  • Supervise or delegate supervision of the concession stand for your games or events. Help your team coordinate concession needs with Concessions Managing Committee. In some instances the best way to handle this is for a parent to be the concessions coordinator for a team.

Photography

  • Assist with team photo sessions and distribute individual photo packages directly to parents. In addition, assist with taking or collecting photos for the senior athletic banquet slide presentation. Action photos and group pictures of seniors are needed.
  • Booster Photography Committee will contact you and the coach to schedule team photos.
  • All student athletes will be provided individual (4x6) and team (5x7) pictures. The student account will be billed $15.00 for each sport. Parents who do not wish to purchase their pictures can return them by date on the envelope and not be billed. Reorders are available.
